Conferences, boardrooms, broadcast and podcasts. A few practical things need to be in place for the visit to work, and they are set out here so you have them before you start.

01Before you invite me

What has to be in place.

These are the ordinary arrangements for a speaker travelling to an event, written down so you have everything in one place while you plan.

An official letter

An invitation on your organisation's letterhead, naming the date, the venue and the session. Until that arrives this stays a conversation.

Travel

Return travel to the city, booked and paid by the host. If a visa is needed, the documents that support the application come from you.

Accommodation

A room for the nights the event requires, arranged before the date, not on arrival.

Ground movement

Someone moving me to and from the venue, including when the event is in my own city.

If the event is virtual, travel, accommodation and ground movement do not apply. The official letter still does.
